Ventrix ("Ventrix," "we," "our," or "us") is committed to safeguarding the privacy and security of the professionals and organizations that use our executive‑recruiting platform (the "Service"). This Privacy Policy explains how we collect, use, share, store, and protect personal data in connection with the Service. By accessing or using the Service, you acknowledge that you have read and understood this Privacy Policy and agree to its terms.
DATA WE COLLECT
We collect various types of data in connection with the Service:
- Information you provide directly: contact details, résumé/CV data, career history, education, skills, preferences, files or portfolio items, and any other information you choose to submit.
- Communications data: content and metadata of messages routed through Ventrix email aliases, support tickets, voice or video calls, and other interactions.
- Transaction data: billing name, billing address, payment status, transaction identifiers, and limited metadata supplied by our payment processors (Stripe and Square). Ventrix never stores full payment‑card details.
- Technical and usage data: IP address, device and browser identifiers, operating system, referring URLs, pages viewed, session timestamps, click‑stream data, and other diagnostic logs collected automatically when you use the Service.
- Publicly available or third‑party data: professional profiles, job postings, and market data obtained from public records, job boards, and data licensors, subject to their terms.
We do not solicit or intentionally process sensitive personal data (such as health or biometric data) and request that users refrain from submitting it.
HOW WE USE DATA
We use personal data only to the extent permitted by law and for legitimate business purposes, which include:
- delivering, maintaining, and customizing the Service;
- matching executives with external and internal opportunities and facilitating discreet application workflows;
- routing and filtering communications through our email alias system;
- verifying identity, preventing fraud, and ensuring information security;
- processing payments and managing subscriptions via third‑party processors;
- analyzing aggregated or de‑identified data to improve algorithms, performance, and user experience;
- complying with legal, regulatory, or contractual obligations, and enforcing our agreements.
Personal data is never sold, rented, or used for unrelated marketing without your explicit consent.
EMAIL ALIAS & COMMUNICATION INTERMEDIATION
To preserve confidentiality, each candidate is issued a unique Ventrix email alias. External employers communicate through the alias; messages are relayed to the candidate’s portal inbox after automated filtering. Ventrix may retain temporary copies of such messages solely for delivery assurance, abuse detection, or technical support. Actual email addresses are not disclosed to employers unless you authorize otherwise. While Ventrix encrypts email in transit and limits internal access, email transmission inherently involves risks outside our direct control.
PAYMENT PROCESSING
All card payments are handled exclusively by PCI‑DSS–certified providers Stripe or Square. Those providers, not Ventrix, collect and store card numbers and related credentials. Ventrix receives only tokenized transaction data. Any breach, misuse, or disclosure originating within third‑party payment systems falls outside Ventrix’s responsibility, and users agree to hold Ventrix harmless for losses arising therefrom.
COOKIES AND ANALYTICS
Ventrix uses first‑party cookies, local storage, and third‑party analytics tools such as Google Analytics to authenticate sessions, detect fraud, remember settings, and gauge platform performance. Analytics data is aggregated or pseudonymized. You may disable analytics cookies via browser controls or industry opt‑out mechanisms; certain core features may not function without essential cookies.
INTERNATIONAL DATA TRANSFERS
The Service may be hosted or accessed from the United States, Canada, the European Economic Area, and other jurisdictions where Ventrix or its cloud and infrastructure providers operate. Where required, we rely on adequacy decisions, Standard Contractual Clauses, or equivalent safeguards to ensure an adequate level of protection. By using the Service, you consent to the transfer of your personal data to locations that may be outside your jurisdiction.
DATA RETENTION
We keep personal data only for as long as necessary to fulfil the purposes described in this Policy, resolve disputes, enforce agreements, or satisfy legal requirements. Once data is no longer needed, it is securely deleted or irreversibly anonymized. Backup archives are purged on a rolling schedule not exceeding sixty (60) days from deletion request fulfillment, except where a longer retention is mandated by law.
DATA SUBJECT RIGHTS
Subject to verification, you may have rights to access, correct, delete, restrict, or port your personal data; object to certain processing; or withdraw consent where processing is based on consent. Requests should be submitted to the contact information below. We will respond within the timelines prescribed by applicable data‑protection laws.
SECURITY
Ventrix implements administrative, technical, and physical safeguards— including encryption in transit, role‑based access controls, network segmentation, vulnerability scanning, employee training, and audit logging— designed to protect personal data against unauthorized access, alteration, or loss. No security measure is infallible; by using the Service, you acknowledge that residual risk remains.
PLATFORM LIMITATIONS, DISCLAIMER, AND INDEMNIFICATION
The Service is provided "as is" and "as available" without warranty of any kind, whether express, implied, or statutory, including but not limited to warranties of merchantability, fitness for a particular purpose, title, non‑infringement, and uninterrupted or error‑free operation. Ventrix disclaims responsibility for inaccuracies in user‑submitted information; acts or omissions of employers, job boards, payment providers, cloud hosts, or email carriers; and events beyond our reasonable control (including service outages, cyber‑attacks, or data leaks originating outside Ventrix‑managed environments). You agree to defend, indemnify, and hold harmless Ventrix, its affiliates, officers, directors, employees, and agents from any claims, damages, losses, or expenses (including reasonable attorneys’ fees) arising out of or related to: (i) your violation of this Policy or applicable law; (ii) your content or user data; or (iii) your use of, or inability to use, the Service.
CHILDREN’S PRIVACY
The Service is intended for use by adults in a professional context. Ventrix does not knowingly collect personal data from individuals under the age of eighteen, and any such data will be promptly deleted upon discovery.
CHANGES TO THIS POLICY
Ventrix may revise this Privacy Policy to reflect changes in the law, our practices, or platform functionality. Material changes will be communicated via a conspicuous banner displayed on our website and within the Service. Continued use of the Service after the effective date constitutes acceptance of the revised Policy.
